Preparing for My Company Annual Planning Meeting

As a business owner, one of my favorite times of the year is our annual planning meeting. It’s a chance to step away from the daily grind, reflect on everything we’ve accomplished, and map out an exciting vision for the year ahead. But what makes this time even more special is that it’s not just about business, it’s about connection.
Reflecting on the Past Year
Before I can dive into planning, I take time to look back on everything that’s happened over the past year. I review my wins, lessons learned, and even the challenges that shaped my journey.
Some of the key questions I ask myself include:
What were my proudest achievements this year?
What areas of my business need more focus or improvement?
Did I meet the goals I set last year? If not, what held me back?
Looking back helps me move forward with clarity, knowing exactly where I want to focus in 2025.
A Family Affair: Planning With My Mom
As many of you know, my assistant is my wonderful mother. She joined my business in 2022 to run the bookkeeping department, and it has been one of the best decisions I’ve ever made. Not only is she the most experienced bookkeeper I know, but she also brings a level of care and dedication that’s unmatched. I trust her completely, and it’s been so freeing to outsource this part of my business to someone I know will always give her best.
Every year, my mom joins me at our annual planning retreat, and it’s something I truly look forward to. This year, we’re heading to Fredericksburg, a charming spot filled with German restaurants and beautiful wineries. While the days are dedicated to business planning, the evenings are for bonding. We laugh, share stories, and spend time together, which always strengthens our relationship and makes us an even better team.
I can’t wait to enjoy delicious German food, explore the local wineries, and create new memories with her while laying the groundwork for an incredible 2025.
Preparing for a Productive Meeting
Planning for the year ahead takes preparation, so I’ve been working to ensure this retreat is as productive as possible. Here’s what I’ve been doing to get ready:
Gathering Key Data: Reviewing my P&L, balance sheet, and client feedback to get a clear understanding of where my business stands.
Organizing Ideas: Collecting all the ideas I’ve brainstormed over the year to decide which ones align with my vision.
Refining My Vision: Revisiting my Vision/Traction Organizer (V/TO) to ensure my goals reflect my long-term plans.
This groundwork sets the stage for a successful meeting, helping me turn big ideas into actionable steps.
Setting Goals for 2025
Once reflection is done, it’s time to dream big. This is where I map out:
Long-Term Goals: Where I want my business to be in 10, 5, and 3 years.
Annual Goals: What I need to achieve in 2025 to move closer to that vision.
Quarterly Rocks: The big priorities I’ll tackle in the first quarter to build momentum.
Accountability Systems: Tools like weekly check-ins and monthly reviews to stay on track.
Why This Meeting Matters
This planning meeting isn’t just another task, it’s the foundation for everything I want to achieve. It’s a time to focus on the big picture, align my goals with my vision, and ensure I have a clear roadmap for success.
What makes it even more meaningful is sharing this experience with my mom. Planning alongside her and combining our strengths has become a tradition I cherish deeply.
